Finding a tenant
We will present the most suitable tenants for you given the guidelines that you’d like us to work towards. You can happily meet with any prospective tenant before any decision is made.
Comprehensive professional referencing
We are known for our stringent referencing procedure in the industry and our careful selection process of potential tenants. All tenants are thoroughly and comprehensively checked and verified by a professional referencing agency. Along with credit history and accountants/character references where required.
The tenancy default ratio we experience is considerably lower than the industry norm which is a testament to this procedure. All of this is read and understood by you the landlord before agreeing to any rental.
Drawing up the tenancy agreement
Selecting the right type and length of agreement to suit your needs, this can be anything from six months rental or anything up to 36 months on one agreement.
Under our rental collection and comprehensive management services, the deposit will be registered with the Deposit Protection Service (DPS), a certificate produced and provided to both you and your tenants.
Organising Electrical and Gas inspections
Where instructed, Coultons can arrange for the electrics and/or gas to be checked at your property. The gas certificate being an annual requirement.
Arrangement of an Energy Performance Certificate
Where instructed, Coultons will arrange for the Energy Performance Certificate to be booked in.
Arranging an independent inventory
We have an in house inventory service, we can arrange, where instructed, for an Inventory to be carried out
Collection of rent
Typically collected on a monthly basis and by one single direct debit only, Coultons will collect rent on your behalf.
Monthly financial statements
To ensure your accounting is in order, Coultons will email you monthly breakdown of any costs and repairs incurred, along with confirmation on the rental amount paid, each and every month your property is let through us.
Organising a professional clean
A professional clean is always recommended before any new tenancy commences. We have a long standing relationship with a number of local cleaning companies and can happily arrange this for you.
Key holding service
Securely held in our management office we require a full set of keys, including access codes and fobs for our contractors to gain access to the property, when applicable.
Arranging payment of outgoings
We can arrange for your ground rent, service charge and other fees to be paid from the incoming rent, if instructed by you.
Arranging repairs and maintenance
Our Lettings team, will liaise directly with you and your tenants and arrange for any quotations and repairs to be carried out where appropriate.
24 hour call out service
Your tenants will be provided with a 24 hour notice in the event of an emergency. Advice is given to your tenants at the commencement of the tenancy as to what constitutes as an emergency.
Arranging a midterm tenancy check
Where instructed, Coultons will carry out two midterm tenancy checks during your tenancy agreement, this will involve a member of Coultons staff visiting the property and conducting a viewing of the premises.
Managing the check out service
At no cost to you, your tenants will be checked out of the property at the end of the tenancy when provided with a full inventory prior to the tenants taking occupancy.
Advising on deposit deductions
Our Lettings team will be on hand to advise you on any suggested deductions once the check out report has been received, providing a full inventory was carried out prior to the tenants taking occupancy. Plus we can arrange for additional quotations to be compiled based on these findings.
Management of the property whilst vacant
Coultons can arrange for work to be carried out, or regular visits of your home whilst there is no active tenancy in place and no tenants in situ.
